How to Add New Inventory in Zelph
Adding inventory in Zelph allows you to define how much stock you have available for specific product variants — and ensures that quantity is synced across all connected sales channels like Shopify.
✅ Step-by-Step: Adding Inventory
Go to the "Inventory" section
From the sidebar, click Inventory > Add Inventory.
Select the product and variant
- Under Product, search for the item you want to add stock to.
- Under Variant, select the specific size or variation (e.g. 3.5 UK).
If the variant doesn't exist yet, click the “add a new variant here” link to create one.
Enter available inventory
Set the quantity available for this variant (e.g.
5
units).Set pricing
- Selling Price: The price you’re listing the product for
- Cost Price: Your internal cost
Compare at Price (optional): This is the original or higher price you want to show as a markdown reference.
If used, Shopify and other storefronts may display this as a strikethrough price to highlight a discount (e.g. “Was £120, now £100”).
- Currency: Defaults to your tenant's currency (e.g. British Pound)
Zelph will automatically calculate your margin and profit per unit.
Assign location & inventory type
Primary Location: Choose the stock location (e.g. Brighton, Warehouse A)
Type:
- Owned: You hold this inventory yourself
- Consigned: Inventory is owned by someone else but fulfilled by you
- You can also tick Taxable if VAT/sales tax applies to this inventory
Click Create
Hit Create to add the inventory, or Create & create another to add more entries right away.
🔁 Real-Time Inventory Syncing
Zelph handles inventory syncing across all connected stores and platforms in real time:
- If you add inventory in Zelph, it's pushed to all connected stores (e.g. Shopify UK, Shopify EU).
- If a unit sells on any store, Zelph automatically deducts it from the shared inventory pool.
✅ Two-way sync with Shopify:
If you adjust inventory directly in Shopify, the change is automatically pulled back into Zelph and reflected everywhere.
This ensures your inventory is always up to date — no overselling, no spreadsheets, no manual syncing.
🔒 Inventory Permissions When Subscribed to a Supplier
If you’re a retailer subscribed to a third-party supplier’s inventory:
- You cannot adjust the supplier’s stock levels inside Zelph.
- Only the supplier can update their inventory.
- You’ll see the current available inventory and can set your own selling price, but stock control stays in the hands of the supplier.
This protects inventory integrity and ensures accurate fulfillment across the supply chain.
🛠 Tip: Central Inventory, Multiple Channels
You can have one source of inventory powering multiple Shopify storefronts.
For example:
You have 5 units of ASICS Gel-1130 (3.5 UK) connected to:
- Shopify UK
- Shopify EU
If one unit sells on Shopify EU, Zelph will:
- Decrease the stock to 4 units
- Push that update to all connected stores
- Reflect the change in your Zelph dashboard in real time
